Privacy Policy

How Zypher Systems, LLC collects, uses, and shares information when you use Mnemo.

This Privacy Policy explains how Zypher Systems, LLC (“Zypher,” “we,” “us”) handles information when you use Mnemo and the sites at meetmnemo.com and app.meetmnemo.com (the “Service”).

Who we are

Zypher Systems, LLC operates Mnemo. We are the controller of personal information we collect through the Service, except where we process content solely on behalf of a workspace that invited you — in that case the workspace’s owner or admin decides who can see that content.

Information we collect

Account information. Name, email address, password (stored as a hash), and optional two-factor authentication settings.

Workspace content. Pages, whiteboards, databases, comments, tags, attachments, and other material you or your teammates put in a workspace. This can include personal information if you choose to put it there.

Usage and device data. IP address, browser and device type, approximate time of requests, and product events needed to operate the Service (for example sign-in, sync, API and MCP calls, and storage use). Free workspaces share a monthly count of successful API and MCP calls; we keep that meter so we can enforce the allowance.

Tokens. If you create a personal access token, we store a hashed secret, the name, the grants you set, and recent API/MCP activity. The raw secret is shown once at creation.

Communications. Messages you send to support or through in-app feedback (title, details, optional attachments, and the page URL if you leave that ticked).

Marketing site. meetmnemo.com is a static site. We do not run a marketing account system on it. Server logs from hosting may include your IP address and the pages you request.

We do not require payment information on Free. If we later offer paid plans, a payment processor will collect card or billing details; we would receive limited information such as plan, status, and the last four digits or a billing email — not your full card number.

How we use information

We use this information to:

  • provide, maintain, and secure the Service
  • authenticate you, and show live collaboration, search, history, and sharing you turn on
  • enforce storage and API/MCP limits
  • send transactional email (verification, password reset, invites) when email is configured
  • respond to support and feedback
  • monitor abuse, debug outages, and improve the product
  • comply with law and enforce the Terms

We do not sell your personal information.

Sharing

We share information only as needed to run Mnemo:

Teammates and people you invite. Members of a workspace can see content their role and page access allow. Invitees see what you grant them.

Public links. If you publish a read-only link, anyone with that URL can open that page. Images and files on that page are available to the same audience. Workspace-visible database embeds may appear on a shared document; restricted databases stay private unless you share the database itself.

Service providers. Hosting, file storage, email delivery, error or uptime monitoring, and — when billing exists — payment processing. They may process information only on our instructions.

Legal and safety. If we are required to by law, or if we need to protect Zypher, the Service, or other people from fraud, abuse, or security incidents.

Business transfers. If we reorganize or transfer the Service, information may move with it, still under this policy or a successor notice.

Agents and other tools you connect with a personal access token receive whatever the token can reach. That access is your choice and your responsibility.

Cookies and similar technology

The app uses cookies or local storage that are necessary to keep you signed in and to remember preferences such as theme. We do not use third-party advertising cookies on the marketing site.

You can block cookies in your browser. If you block the ones the app needs, you may not be able to stay signed in.

Retention

We keep account and workspace data for as long as the account or workspace exists, and for a limited time afterward in backups. You or a workspace admin can delete pages, empty trash, or delete a workspace as the product allows. Admins can download a restoreable backup before they leave.

Support messages and server logs are kept only as long as we need them for security, debugging, and legal reasons.

When you revoke a token, it stops working. We may keep a record that it existed and a summary of recent activity.

Security

We use transport encryption (TLS), access controls, and hashed passwords. Attachments are stored behind the application; we do not leave object storage open to the public internet.

Mnemo is not end-to-end encrypted. People we authorize to operate the Service, and tools you authorize with a token, can in principle access workspace content. Keep tokens secret, use two-factor authentication, and download backups of anything you cannot afford to lose.

No method of transmission or storage is perfectly secure.

Your choices

  • Update your profile, password, and two-factor settings in the app
  • Change workspace membership and page access, or revoke public links
  • Export a page as Markdown or PDF, or download a workspace backup if you are an admin
  • Revoke API/MCP tokens
  • Delete content, a workspace (owner), or ask us to close your account at support@meetmnemo.com

Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Email us to make a request. We may need to verify who you are. If we deny a request we are not required to grant, we will say so.

Children

The Service is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has created an account, contact us and we will delete it.

International users

We may process and store information in the United States and in other countries where we or our providers operate. If you use Mnemo from elsewhere, you understand that information may be transferred to those locations.

Changes

We may update this policy. The “Last updated” date will change. If a change is material, we will provide a reasonable notice. Continued use after the effective date means you accept the update.
